Barcode Recognition Service
An eCopy Document Service from Open Archive Systems

Use eCopy and the Open Archive Barcode Recognition Service to create a more intelligent and productive batch scanning process. Barcodes provice an automated method to split, name, route and index scanned documents.

Splitting

The Barcode Recognition Service uses barcodes to split and create new files from one big document stack. Documents that already contain a barcode(s) can be scanned and split without adding any extra barcode separation pages.

If the documents don't have any barcodes, our Barcode Maker (or other barcode software) can be used for creating and printing barcode separator pages.

The Barcode Recognition Service also provides some unique options for managing barcode splitting:

  • OA Separator Pages can be printed and placed anywhere within a document stack to provide guaranteed splitting points. Using OA Separator Pages provides more accurate splitting than blank pages, especially if double sided scanning is being used.

  • A text string can be defined for activating barcode splitting. The Barcode Recognition Service looks for this word (or series of characters) in each barcode and only activates a split when it is successfully located. For example, only split when a barcode contains the word "invoice". This can be useful when documents contain multiple barcodes.

  • Barcode type(s) can be selected, such as Barcode 128 or Code 39, etc. Barcode splitting and naming will only be activated when the Service encounters this type of barcode.

Naming Files

Barcode(s) can be used to automatically name the newly created files. Administrators define file naming rules using any barcode(s) on the page as well as date, time, page number, etc. This hands-free process ensures that scanned files use a consistent naming convention.

Routing

  • Route to Windows Folders The newly created files can be sent to any Windows folder with an option to specify a barcode for the folder name. If this folder doesn't exist, the Service will automatically create it. Barcode recognition is a simple way to create an organized Windows directory structure for storing scanned files.
  • XML/CSV Support XML and CSV files can also be automatically created and placed in the output folder with the file. The XML and CSV files contain the date, time, file path and barcode data specified in the file name. This provides important file information which can be input into most backend systems.

Indexing

Barcodes can automatically populate Matter, Client ID and Billing Codes index fields for Interwoven, Hummingbird and Captaris RightFax Connectors. Index field support is currently designed for the legal industry and connectors must be configured to support eCopy’s data publishing.
